The Information Technology Services Division (ITSD) is working to migrate employees’ files from their H: drive to Microsoft’s OneDrive, a cloud-based file hosting service. OneDrive provides the ability to collaborate and share any file so there is only a single document to maintain and allows multiple users to update it. OneDrive ensures files are automatically saved and provides better file security.
ITSD will be contacting you to schedule your migration in the coming weeks.
Post migration, your files will be located in OneDrive and you will have Read Only access to your files on the H:\ for 30 days. We will ask that you review your H:\ drive files for any disparity. The Service Desk will be able to assist you with any OneDrive issues, including corrupted or missing files.
REQUIRED ACTION:
Please review your H:\ drive folder. For best results, adhere to the best practices noted below:
- Review your files to determine which need to be retained and delete what is no longer required.
- Naming convention: special characters can prevent files and folders from migrating to OneDrive. Rename files or folders to remove special characters and ensure a smooth migration. Leading and trailing spaces in file or folder names are also not allowed. Examples of special characters include: ” * : < > ? / \ |
- For a successful migration to OneDrive, the entire file path, including the folder and file names, cannot contain more than 400 characters. An example of a succinct file path using limited characters would be: H:\JSMITH\My Documents\MS Word\CounselorMeeting.docx (approximately 52 characters.)
- You may need to reduce the number of folders so that the entire file path name is less than the 400 character limit. You may also need to rename some of your files and folders to use shorter names.
